REPORT SYSTEMS: COMPLIANT REPORTING MADE EASY

Pest managers will soon have a new choice of reporting and business management tools in the form of the new Report Systems App. 

The new Report Systems app is a joint initiative of Report Systems Australia and Wallace Risk Solutions.

Pest management professionals will soon be able to download the all-new app, which has been designed specifically to meet the inspection and reporting needs of both pest managers and timber pest inspectors. After adding the app to an iPad or Android device, pest managers can schedule jobs, send customer agreements and complete reports quickly and efficiently by tapping a few buttons onscreen. The simple and easy to use app means there’s no more wasted paper and ‘paperwork’ becomes digital.

This app is different to others, as its integrated business and reporting system allows office staff to seamlessly work with staff in the field to deliver the client the highest level of service. The Report Systems App will give pest managers several everyday business functions in one place, providing a real business solution for many pest managers.

Compliant reports

The Report Systems App utilises the Report Systems Australia (RSA) licenced reports to ensure that reports generated using the app comply with the highest standards. RSA have been providing quality reports to the pest management industry for over 20 years. A recent PPM survey indicated that when it comes to report writing, over a third of pest managers use a dedicated report writing software, with RSA leading the way. Using the app, statement generators will allow you to create detailed and compliant statements by tapping and selecting answers that are appropriate for the situation. For example, using the timber pest statement generator, an inspector can tap and select the statements that apply to the inspection they have just conducted. Each statement is carefully worded to ensure the report is clear and accurate, while at the same time serving to protect the inspector in the event of dispute. The statement generator minimises the risk of error.

Multiple user capability

A role has been created within the app that allows for the organisation or admin account manager to invite technicians/inspectors to set up a profile. The admin manager can then schedule and delegate jobs to the various technicians/inspectors. There will be two technician/inspector roles: the first role allows the technician or inspector to send completed reports directly to clients, the second only allows the technician or inspector to save the completed report and then the organisation/administration manager can amend (if required) and send the final report to the client.

Enhanced scheduling with calendar and map integration

Once a job has been verbally agreed with the client, the app administrator can send a customer agreement to the client via SMS or email. The agreements are legally compliant and comprehensive, and can be easily tailored to each individual customer.

It will be possible to schedule jobs for yourself or for an employee, and jobs can be easily reallocated to another technician, if required. Each device will display the current day’s jobs. The app will also provide a visual reference of the job’s progress. A monthly view will indicate all days that have one or more jobs.

Scheduling within the app will allow you book follow-up visits and review upcoming jobs. The app will also sync with most calendars and integration with map apps make it easy for the technician to arrive at each job on time.

Innovative drawing program

A key component to a good reporting system is having a simple to use drawing program. The Report Systems App drawing program will allow you to create detailed site plans using default symbols or you can create your own symbols.

White label reporting solution

The Report Systems App allows the look and feel of reports to be customised by allowing you to upload your logo and control the heading and subheading colours throughout the report. Additional reporting functions as well as a dashboard containing report statistics will be available within 12 months of the app being released (stage 2).

The stage 2 release of the app will also see app data syncing with Xero and QuickBooks to provide integrated management of invoices and business finances.

Following user acceptance testing in July, the Report Systems App will be launched in August 2019.
