You can cover more ground, take on bigger runs of work, and keep jobs moving when you are flat out. The flipside is simple: if the subcontractor\u2019s work is messy, poorly documented, or handled differently to how you do it, the complaint still lands on your desk. The good news is you can avoid most problems with a few practical habits.<\/p>\n<p>&nbsp;<\/p>\n<h2>Get the agreement right without drowning in paperwork<\/h2>\n<p>Having a separate contract for every job is overkill. What works in the real world is a master subcontractor agreement, signed once, then jobs are allocated by email, app, or work order for each customer booking.<\/p>\n<p>The master agreement should cover the rules that do not change, such as the type of work the subcontractor is allowed to do, the standard you expect, what paperwork they must complete, safety rules, and how you want them to talk to customers. The job allocation then just covers the basics like the address, start time, what services the client has booked, and what they must send back to you afterwards.<\/p>\n<p>&nbsp;<\/p>\n<h2>Check licences and skills, then recheck them<\/h2>\n<p>Before you give someone work, check they are licensed for the type of pest control work they will be doing. Keep a copy of their licence details and set a reminder to recheck it at least once a year. If they are doing inspections and writing reports under your name, make sure they actually know how you want inspections done and what you expect in the report. A quick ride along or a few supervised jobs at the start saves a lot of grief later.<\/p>\n<p>&nbsp;<\/p>\n<h2>Make paperwork easy and consistent<\/h2>\n<p>Most disputes are not about what was done, they are about what was written down. Give subcontractors your templates for inspection reports, treatment records and customer instructions and clarify what photos are required. Be clear on your minimum standard. For example, instruct them to take photos of key areas, note access limitations, recorded the products used, and give clear recommendations if further investigation is needed.<\/p>\n<p>If you offer certificates and\/or warranties, control the wording. Do not let different people write their own versions.<\/p>\n<p>&nbsp;<\/p>\n<h2>Supervise properly and prove it<\/h2>\n<p>You do not need to micromanage your subcontractors, but you do need a supervision system in place. Pick a simple approach and stick to it. You can do a weekly file check, random customer follow-up calls, photo audits, and the occasional job shadow. Write down that you did it. If a complaint turns into a formal dispute, being able to show you had quality checks in place matters.<\/p>\n<p>&nbsp;<\/p>\n<h2>Set clear rules for incidents and complaints<\/h2>\n<p>Make sure subcontractors know what to do if something goes wrong. Spills, exposure concerns, breakages, aggressive customers, or anything unsafe should be reported straight away. Set a rule that they do not admit liability, do not offer refunds, and do not change scope or pricing without your approval. Also set expectations for what they must send you if there is a complaint. Job notes, photos, products used, and a quick timeline of what happened.<\/p>\n<p>&nbsp;<\/p>\n<h2>Keep insurance and documents up to date<\/h2>\n<p>Ask for their certificates of currency and recheck them at renewal. Even if everyone is insured, you still want to know who is covering what and what happens if there is an excess. Do not leave this stuff to a handshake.<\/p>\n<p>For contractors themselves, they should hold appropriate insurance for the work they do, at a minimum, public liability, plus professional indemnity where they provide advice, inspections or written reports. They should also consider personal cover such as income protection so an injury or illness does not wipe out their ability to earn.<\/p>\n<p>Subcontractors can be a weapon for growth, but only if you run them like part of your business. Keep it simple. Clear rules, consistent paperwork, basic supervision, and fast communication when something goes wrong.
